How to exercise your rights under UK GDPR

What to include

Please provide:

  • Your full name
  • Your contact details (address or phone number)
  • The type of request (SAR, correction, deletion, etc.)
  • Enough detail for us to identify the data concerned

Identity verification

We are required to verify your identity before disclosing or deleting personal data. For most requests, confirming your name and contact details is sufficient. In some cases β€” particularly for Subject Access Requests involving a significant amount of personal data β€” we may ask for additional verification. We will let you know if this is needed and will not use it as a reason to delay your request unnecessarily.

Records we may be required to retain

Some records must be kept under legal obligations and cannot be deleted on request. These include:

  • Gift Aid declarations and donor records (6 years β€” HMRC requirement)
  • Financial records (7 years β€” accounting requirement)
  • Any records subject to an active legal or regulatory investigation

Our response time

We will respond to all requests within one calendar month of receipt. If a request is complex or involves a high volume of data, we may extend this by a further two months β€” we will inform you if this is necessary.
